Summary

Greater Philadelphia YMCA helps members discover programs, classes, schedules, and services across a large and active network. Keeping these experiences accurate and easy to use depends on information that changes constantly across multiple systems.

With Deyra, live program and schedule data now powers member-facing discovery directly across the website. The shift makes it easier for members to find and act on current information while reducing the custom Drupal maintenance previously required from the YMCA team.

The Challenge

For Greater Philadelphia YMCA, helping members find the right program or class means working with information that changes every day. Programs are added, schedules shift, and availability changes across locations. When program and schedule information is difficult to find online, questions about classes, times, locations, and registration often move to front-desk teams.

The information members need also lives across different systems, including Traction Rec, YMCA 360, and the YMCA website. Bringing that data into useful member-facing experiences had become an ongoing development challenge. Custom Drupal functionality required regular fixes, while recurring issues affected the speed and stability of key discovery experiences.

Each intervention consumed development hours that could otherwise support new features and improvements. Greater Philadelphia YMCA needed a more sustainable way to improve self-service for members, reduce avoidable staff inquiries, and evolve its digital experience without adding more custom website maintenance.

The Solution

With 15 branches, 80 child care sites, and 250,000 members, Greater Philadelphia YMCA needed discovery experiences that could work across a large network without treating every page, branch, or audience the same way. Deyra helped turn its program data, class schedules, and existing content into focused experiences placed where members are already looking for information.

Live Program Discovery

Program Finder turns live Traction Rec data into multiple discovery experiences across the YMCA website. Greater Philadelphia YMCA uses different instances across the site, from broad program discovery to focused experiences such as summer camps. Each is configured around the audience and purpose of the page where it appears while drawing from the same Traction Rec data.

Members can:

  • Search by keyword and filter by location, age, day, time, or category
  • Compare dates, pricing, availability, locations, and age ranges
  • Bookmark programs to revisit before making a decision
  • Move directly to registration or join a waitlist when a program is full

Up-to-Date Class Schedules

Schedules Finder extends the same approach to class schedules. Live YMCA 360 data appears directly on branch and schedule pages, giving members current class information in the context of the location they are already exploring. Members can browse and filter current classes within the location they are already exploring, then add classes to their calendars or download schedules as PDFs.

The YMCA team configures each Finder instance in Deyra Console and adds it to the relevant page with an embed code. New discovery experiences can be introduced across branches and audiences without developing each one as separate custom Drupal functionality.

Insights Into Member Behavior

Analytics & Insights brings together data from Program Finder and Schedules Finder to show what members are looking for and where that interest leads. The YMCA can see which programs generate registration intent and which classes attract the most interest.

Those patterns give the team a more practical view of demand across the organization. A program receiving strong interest but limited registration activity may point to friction in the journey. Search patterns can reveal programs that members are actively looking for, while schedule browsing can show which classes, categories, and time horizons matter most.

Instead of relying only on page views, the team can use discovery behavior to improve program visibility, strengthen paths to registration, and better understand what members are looking for across programs and schedules.

The Result

The change is visible on both sides of the digital experience. Members have clearer ways to find programs, compare options, and check current class schedules. Behind the scenes, the Greater Philadelphia YMCA team has moved away from recurring fixes and website updates that previously consumed development time.

  1. More Registrations Members can compare options, check availability, and move directly toward registration. Better visibility across the YMCA’s offerings helps turn more digital interest into participation and revenue.
  2. Always Up-to-Date Program and schedule information stays aligned with Traction Rec and YMCA360 as source data changes. Members get current information without the YMCA team repeating updates across the website.
  3. Better Understanding of Demand Program searches, schedule browsing, and registration intent give the YMCA a clearer view of what members are looking for and where opportunities exist to improve the journey.
  4. More Time to Grow Development hours that once went into recurring fixes and maintenance can support new features and improvements across the YMCA’s digital experience.
